Rolling Up A File of Existing Returns |
If you have an existing file of returns that contains multiple returns for various recipients, the following procedure explains how to rollup the duplicates, resulting in a single return for each recipient.
a) Open the file of existing returns.
b) From the 'File' menu, select 'Export' to display the Export Options dialog.
c) Move all Available Fields to the Selected Fields area.
d) Click 'Begin' to create an export (EXPORT) file.
e) Close the file of existing returns.
f) Select 'Copy' from the side bar of 'Client (Filer) Management'.
g) Create a new client by assigning a new client id (NEWID) and clicking OK.
h) Using the EXPORT file created in step (d) as the source file in The Import Mapping Utility, create and execute a mapping of all applicable fields back to the same tax form.
i) Double-click the NEWID created in step (g) and open the same tax form as the original returns.
j) Import the destination file created in step (h) using the 'Rollup (or Append)' option. If successful, the resulting file will contain a single return for each recipient. |

Multiple Import Rollup Strategy |
The key to a successful rollup session is to start with recipient demographics!
a) Create a text file, or spreadsheet, containing only recipient demographics (name, address, taxpayer identification number, account number).
b) Using the text file created in step (a) as the source file in The Import Mapping Utility, create and execute a mapping of demographics information only.
c) Import the destination file created in step (b) using the 'Append' option. If successful, this will result in a file of null returns, one for each recipient.
d) Create a text file, or spreadsheet, containing either annual totals or detailed transaction information for each of the recipients imported in step (c) above. Each record of this file must contain a primary key field (such as the taxpayer identification number) for the recipient.
e) Using the text file created in step (d) as the source file in The Import Mapping Utility, create and execute a mapping in order to produce a destination file that Account Ability can import.
f) Import the destination file created in step (e) using the 'Rollup (or Append)' option. If successful, each existing recipient's record will be updated accordingly.
Repeat steps (d)-(f) as often as needed until all recipient returns are complete.
NOTE: When you are all finished, order the resulting file by recipient name and run a 'Control Report' from the 'File' menu in order to verify the results. |
